Penrose House Guidelines
Qualified Organizations & Requests
- Penrose House is available to eligible 501(c)(3) organizations and government agencies. Each organization may use Penrose House a maximum of six (6) times per calendar year.Â
- To ensure Penrose House can accommodate as many eligible organizations as possible, cancelations and/or rescheduled reservations within two months of the reservation date will be applied to the six-visit rule for that calendar year.
- Meetings must be a minimum of four (4) hours in length.
- Qualified meetings are strategic or productive in nature. Social, networking, celebratory or recognition-oriented events do not qualify.
- Events that charge a fee to attend are ineligible, except to cover catering expenses and/or program costs/materials.
- Space is reserved for group/nonprofit meetings and may not be used as an individual/personal remote working site.Â
Use of Penrose House
- We ask that guests refrain from bringing children or pets to Penrose House, as the facility is not designed to accommodate associated needs. Service animals are always welcome.Â
- Penrose House is a non-smoking facility. Smoking is permitted in designated areas on the property. Please ask a staff member if you have any questions.
- We do not accommodate weddings, private functions, or fundraisers.
- Professional photography sessions are not permitted. Personal momento photos with a smartphone are permitted and encouraged!Â
Scheduling
- Meeting requests are considered on a first-come, first-served basis.
- All requests must be submitted at least one (1) week prior to the requested meeting date.Â
- Separate dining space is limited and available on a first-come, first-served basis. Please ask our staff for more information.
- Penrose House reserves the right to make changes to room assignments and layouts as needed.Â
Day-of Meeting
- We have ample parking available. Please follow the directional signs towards the west side of the property.
- Doors are unlocked promptly at our opening time. Please note, we do not open prior to our posted times to provide our staff with time to prepare the house for guests.Â
- Please check-in with one of our staff at the front reception desk. We are happy to direct you towards your room and answer any questions you may have.
- Do not post documents on artwork or on windows. Documents may be hung on the walls using the tape provided in each meeting room.Â
- Please conclude your meeting in time to clean-up and gather your belongings by our posted closing time.
- Â We ask you return the meeting space in the condition it started. Your organization may be subject to a $25 maintenance fee if the room is left in an unsatisfactory condition.
Catering
- Penrose House has a list of authorized caterers. These caterers have submitted copies of their business license and proof of insurance. Without these documents, organizations are not permitted to serve/use heating devices at Penrose House. Third party vendors, such as Grub Hub and Door Dash, are permitted to delivery only.
- Â Organizers work directly with the caterer of their choice to arrange menu selection and delivery
(if applicable). Penrose House will need the name of the caterer that you selected as part of your
reservation process. - Please note: due to being an historic landmark, there are certain rooms at Penrose House that
cannot have open flames. Caterers generally use open-flame sternos to warm hot menu items. If
you are planning a hot meal, please inform Penrose House staff to ensure there are no restrictions
on your meeting space. - Â All other food items must be store-bought and commercially prepared (no potlucks).
- Food cannot require heating or refrigeration (if meals require this, organizations must go
through an authorized caterer). - Â Organizers will need to supply any plates, napkins, serving dishes/utensils, and eating utensils that the food items require (Penrose House does not stock these items).
General Information
- The Library, Salon, and Foyer are considered common areas and should not be used for meeting purposes. Courtyards are considered unrestricted common areas and you are welcome to enjoy these spaces when not otherwise occupied.
- In an effort to ensure the safety of Penrose House staff and guests, security cameras with 24-hour video surveillance have been installed throughout the property.
- We are fortunate to often have wildlife on our grounds. To ensure our animal neighbors stay wild, never approach or feed any wildlife you see at Penrose House, and admire them from a safe distance.Â
- Please notify Penrose House staff immediately in the event of any accident, injury or damage to Penrose House property.
